About the Role
We are looking for a proactive, organized, and detail-oriented Real Estate Administrative Assistant to support a busy U.S.-based realtor with day-to-day operations, transaction coordination, scheduling, client communication, and administrative tasks.
The ideal candidate is highly organized, comfortable multitasking, and capable of managing multiple ongoing tasks in a fast-paced environment. Previous real estate experience is a strong plus, but we are also open to candidates eager to learn and grow within the industry.
This is a full-time remote position.
Key Responsibilities
Assist with real estate transactions from listing to closing
Manage contracts, disclosures, addendums, leases, HOA documents, and digital signatures
Upload and manage property listings on MLS platforms
Schedule appointments, showings, inspections, meetings, and calls
Coordinate and manage showings through ShowingTime
Send follow-ups to clients, agents, vendors, and other parties involved in transactions
Respond to emails and maintain organized communication workflows
Assist with email campaigns and text communications
Maintain transaction timelines, deadlines, and documentation
Research property and ownership information using iMapp
Assist with property research and comparable analysis using CoreLogic Matrix
Monitor listing activity and showing feedback
Maintain organized files, systems, and workflows
Support with additional administrative and operational tasks as needed

CRM and scheduling tools
Requirements
Intermediate to advanced English level (written and spoken)
Strong organizational and multitasking skills
High attention to detail
Comfortable communicating with clients and confirming appointments in English
Ability to manage multiple priorities simultaneously
Tech-savvy and comfortable learning new systems quickly
Strong follow-up and communication skills
Ability to work independently and proactively
Previous administrative or coordination experience
Nice to Have
Previous experience supporting a realtor, broker, or real estate team
Familiarity with MLS systems and transaction coordination
Experience working with U.S.-based clients
Knowledge of real estate contracts and listing workflows
